Эксперт раскрыл семь практик по обеспечению безопасности на мероприятиях до возникновения чрезвычайных ситуаций

When we talk about safety and security at meetings and events, the conversation often begins with emergency response: What happens if there is an active threat? Where are the exits? Who calls 911? Of course, those questions matter. But preparedness should begin long before an emergency occurs. One of the principles I reinforce when training venue and event teams is simple: You must recognize risk early enough that we still have options. Meeting professionals are in a unique position to help make that happen. Planners know their event, their attendees, their schedule and what normal operations should look like. That makes them the centerpiece of the awareness and communication process. Here are seven practices I encourage planners to consider. 1. Establish Your Baseline Before attendees arrive, understand what “normal” should look like for your event. Who should be there? What areas are restricted? What activities are expected? What should attendee traffic look like? Situational awareness isn’t about looking at everyone suspiciously. It’s about recognizing when something doesn’t fit the environment. 2. Know Your Venue Partners Before You Need Them Meet with venue security, operations and guest services leadership before the event. Know who has decision-making authority and how you will communicate if something develops. The middle of an emergency is not the time to exchange phone numbers or determine who is responsible for what. 3. Recognize Behavior, Not Appearances Effective awareness focuses on observable behavior and anomalies. Is someone showing unusual interest in restricted areas? Attempting to circumvent access controls? Closely observing security movements and actions? Using escalating behavior toward employees or attendees? One behavior by itself could mean nothing, but the objective is to recognize concerning patterns and make sure they are communicated to the right people. Use Guest Service as an Early-Intervention Tool This is something I emphasize heavily in training: Guest service can be risk mitigation. A professional interaction as simple as, “Good afternoon. Can I help you find something?” does more than provide good service. It creates engagement. That interaction may help determine whether someone is simply lost, confused or frustrated, or they require closer attention from the team. Sometimes the best security interaction never looks like security at all. 5. Give Everyone Permission to Communicate One of the biggest vulnerabilities in any organization is when an employee notices something but doesn’t say anything because they aren’t sure whether it’s important enough. I encourage teams to keep it simple: Notice it, communicate it, escalate it when necessary. People don’t need to diagnose a specific threat. They need to recognize when something falls outside the baseline and know who to tell. [Related: Event-Security Levels: Elevated] 6. Discuss the “What If” Before the Event Take a few minutes with key personnel to walk through realistic situations. What if someone enters a restricted area? What if an attendee becomes aggressive? What if there is a medical emergency, severe weather, an evacuation or a suspicious person or item? You don’t need an elaborate exercise. Asking the right questions before an incident can expose communication and operational gaps while there is still time to fix them. 7. Make Preparedness Part of the Guest Experience Safety and hospitality should never compete with each other. A well-prepared team communicates confidently, engages professionally and recognizes problems earlier. Attendees may never see all the planning and preparation behind that environment, and that’s exactly the point. Preparedness isn’t about creating fear; it’s about creating options. Preparedness beats paranoia because awareness isn’t about expecting the worst, it’s about being ready for the unexpected.
